Which data do we collect?
Data you provide yourself
When you fill in the contact form, request a quote or give us an assignment, we collect data such as your name, company name, email address, phone number and the content of your message. We use this data to communicate with you, prepare a quote and deliver our services.
Data via cookies and analytics
Our website uses cookies to analyse visits and improve the website. For analysis we use Microsoft Clarity and Google Analytics 4. These tools process IP address, browser data and click locations. We anonymise where possible and do not share identifiable data with third parties for advertising purposes without your consent.
Data via the Meta Business API integration
For clients who have granted Vince Online Marketing access to their Meta Business Manager (Facebook and Instagram), we use the Meta Business API to analyse, optimise and report on campaigns. This concerns business data of our clients (ad performance, page statistics, comments on public posts) and not personal data of end users, except where this is directly connected to public interactions with an ad or a Page.
This data is processed locally in a secure working environment in the Netherlands. We do not share this data with any party other than the client itself. Processing takes place solely on the basis of the written data processing agreement with the client.
For what purpose and on what legal basis do we process data?
- Performance of the agreement: to deliver the agreed marketing work.
- Legal obligation: for example for our tax administration (7-year retention obligation).
- Legitimate interest: to analyse and improve our website and services.
- Consent: for sending a newsletter or placing non-functional cookies.
Retention periods
We do not keep data longer than necessary for the purpose for which it was collected or as legally required. General guideline:
- Contact form data: a maximum of 2 years after the last contact.
- Invoice and accounting data: 7 years in accordance with the tax retention obligation.
- Meta API reporting data of clients: for the duration of the collaboration, then deleted within 90 days.
- Analytics data: a maximum of 26 months.
With whom do we share data?
We do not sell data to third parties. We share data only with parties we are contractually connected to for the delivery of our services, for example our hosting provider, our accounting software Moneybird and our email provider. We have concluded data processing agreements with all these parties.
Security
We take appropriate technical and organisational measures to protect personal data against loss or unlawful processing. This includes encrypted connections (HTTPS), access with strong passwords and two-factor authentication where possible, and encrypted storage on the working environment.
Your rights
You have the right to access, correct or have your personal data deleted. In addition you have the right to data portability and the right to object to the processing. You can send a request to this effect to info@vinceonlinemarketing.com. We respond within 30 days.
For a specific request to delete data resulting from the Meta API integration, please refer to our data deletion page.
Filing a complaint
You have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) if you believe we are not handling your data correctly. See autoriteitpersoonsgegevens.nl.
